From proposal to execution

Every new research project, case report, case series or innovation proposal requires written approval from the Observatory steering committee under microscopIA governance or appointed research group scientific lead. Admission or membership does not replace this approval.

  1. Submit the aim, methods, proposed team, data, resources and expected outputs to the responsible scientific authority.
  2. The scientific authority reviews and approves the proposal, documenting its scope and conditions.
  3. Once approved, the scientific reviewing authority notifies microscopIA to initiate execution of the approved project.
  4. microscopIA coordinates responsibilities, staff, budget, milestones and data/IP agreements. Activities begin with the required ethics, institutional and regulatory permissions in place.

microscopIA appoints competent reviewers before execution. Reviewers disclose conflicts and recuse themselves where appropriate. Membership does not confer contracting authority or permission to reuse contacts or data for external projects.

Protocols and collaboration agreements

General conditions

Scope, responsibilities and acceptance

Provider and agreement

microscopIA services are supplied by the legal entity identified in the written offer and invoice. The offer must state its legal name, address, contact details, service scope, price, applicable taxes, currency and payment schedule.

A public inquiry or simulation is not a contract or an obligation to pay.

Explicit acceptance

Before contracting or payment, the customer must actively accept the applicable terms and service module. We record the version, service, server date and time, and a transaction or acceptance reference. An unchecked box is never treated as acceptance.

Material changes require renewed acceptance for future work; existing agreements are not changed retroactively.

Payment and refunds

Payment is due only under an accepted written offer. Fees, milestones and any third-party costs must be disclosed before payment. Refunds are assessed against undelivered services, work actually authorized and performed, the accepted cancellation policy and mandatory consumer rights.

No blanket non-refundable rule overrides the law. For duplicate, disputed or incorrect charges contact finance@microscopiatech.com.

Cancellation and rescheduling

For appointment services, the booking offer must disclose the cancellation window, any late-cancellation charge and the permitted rescheduling options before payment. Where the booking provider enables it, use the secure Manage booking or Reschedule link in your confirmation to change the appointment directly.

Otherwise request assistance through Contact. If microscopIA cancels, request an alternative appointment or a refund for the undelivered service. Project termination is governed by the signed milestone agreement and applicable law.

Privacy and research data

The Privacy Policy explains personal-data handling. Public forms must not receive patient identifiers, clinical source files or raw research datasets. Institutional consent, ethics review where applicable, security, access, retention and lawful transfer must be established before research data is shared.

Research or data-sharing agreements define permitted purposes; data is not a substitute payment commodity.

Intellectual property and publication

Background IP remains with its owner unless expressly licensed or assigned. New IP, inventorship, use rights, publication review and any commercial participation are defined in the written agreement. Authorship depends on qualifying contribution and accountability; payment does not purchase authorship.

No publication, impact, clinical outcome or regulatory approval is guaranteed.

Responsibilities and liability

Each party must provide accurate authorized information, meet agreed responsibilities and promptly report problems. Services must be used only within the agreed purpose and safeguards. Any project-specific limitation of liability must be expressly agreed and lawful; nothing excludes liability or remedies that applicable law does not permit excluding.

Complaints and disputes

Submit service complaints through Contact and financial discrepancies to finance@microscopiatech.com, identifying your reference and requested resolution without sending card details or sensitive research data. We will review the record and seek a documented resolution.

Governing law and dispute mechanisms must be stated in the accepted offer without removing mandatory consumer protections.

General conditions

Research, innovation and future services

Research services

The signed scope identifies methods, deliverables, responsibilities, data readiness, ethics requirements, milestones and fees. Work begins only after agreed activation conditions. Research and data-sharing agreements specify lawful authority, permitted purposes, access, security, retention, transfer, publication and institutional approval.

No journal decision or scientific finding is guaranteed.

Innovation services

The statement of work defines technical requirements, verification criteria, prototype limitations and regulatory duties. Background IP, new ownership, actual inventorship, licensing, economic participation and publication rights require written agreement before work. Patient validation requires applicable ethics, regulatory and institutional approvals and consent.

Funding alone never creates inventorship.

Educational services

The offer specifies learning objectives, format, instructor, duration, prerequisites, price and certificate criteria. Education does not confer a professional license, degree, clinical authorization or guaranteed proficiency. Use fictional or lawfully de-identified scenarios.

Individual language simulations follow Standardized Patient terms; group activities and courses follow their respective documents.
