Jotform routes collect data-minimized proposal information. Sensitive documents are requested only through an approved, role-controlled workflow after the appropriate governance stage.

Effective August 18, 2026. Public forms and chat are not approved routes for raw datasets, patient names, clinical narratives, consent documents or other confidential research content.
DATA GOVERNANCE
Source-data owners retain control unless a project-specific agreement says otherwise.
microscopIA receives only the rights required for the agreed work. No unrelated secondary use occurs without authorization.
Health and research information
Use de-identified data wherever possible. Identifiable information requires applicable authority, minimization, secure transport, access control, retention rules and auditability.
Notifications
Ordinary notification emails should contain a unique project or submission ID, not patient names, narratives, raw datasets or attached consent documents.
Assistant and search
The assistant must not request identifiable patient data or reveal private submissions. Public search never indexes confidential Jotform submissions.
Service providers
Website hosting, Jotform, ecosystem sites, mapping services and an enabled AI provider may process limited data for their defined purpose under their own terms and applicable safeguards.
Rights and incidents
Use the Privacy contact route for applicable access, correction, deletion, withdrawal, objection or incident reporting. Do not include confidential project content in the initial message.
First-party measurement
The site records only a controlled event name, page path, locale, optional campaign labels and allow-listed operational metadata. Analytics records do not store an IP address; short-lived in-memory request buckets are used only to protect the endpoint from abuse.
Retention schedule
First-party analytics events are removed after 13 months. Unaccepted publication-planner simulations are removed after 90 days. Accepted or project-linked records follow the applicable project, finance, legal and regulatory retention schedule.
